Commercial Roof Leak Response Checklist for Facility Teams
A roof leak response should protect people and operations, preserve useful evidence, and support accurate diagnosis without sending unqualified personnel into unsafe conditions.
Protect people and the affected area
Use barriers, containers, signage, and access restrictions as appropriate. Protect equipment, merchandise, furnishings, and documents when it can be done safely. Escalate electrical exposure, ceiling instability, or other immediate hazards to qualified personnel.
Document the interior condition
Record the first observed time, affected room or grid location, ceiling or wall staining, approximate drip area, rate or pattern, odors, pooled water, damaged materials, and photographs from safe positions. Note whether the condition appears only during wind, heavy rain, snow melt, or mechanical operation.
Capture exterior and roof context safely
Do not access a roof without authorization, fall protection, training, and safe conditions. From ground level, document weather, visible debris, drainage overflow, displaced exterior elements, recent work, and the approximate building area.
Preserve diagnostic clues
The interior leak location may not identify the roof entry point. Water can travel along deck flutes, insulation, framing, pipes, penetrations, or sloped assemblies. Avoid removing evidence or performing broad interior demolition before the assessment unless needed for safety or damage control.
Share the right request information
- Exact property and affected area
- Onsite contact and roof access process
- Weather at the time of leakage
- Photos and prior repair history
- Known roof type, age, warranty, or installer
- Interior impact and temporary containment
- Recent rooftop contractor activity
Close the loop after repair
Document what was found, temporary versus permanent work, materials, photos, remaining conditions, warranty implications, and interior restoration needs. Monitor during a later weather event when appropriate.
